Big Brothers of Greater Vancouver’s (BBGV) mission is to enhance children’s social and emotional development by delivering and advocating for the highest quality, prevention-based mentoring programs. The Events and Engagement Coordinator is responsible for executing event-related activities, managing event and corporate group volunteers, managing cause-related marketing initiatives, and providing some event administrative support. This role involves taking the lead in specific aspects of the bowling and golf events, as well as assisting with the planning and logistics for other fundraising initiatives. With strategic direction from the Events Officer, this role will be responsible for overseeing event logistics and managing the critical path for the agency’s BIG Night of Stars awards night.

Fundraising events

  • Develop and oversee critical paths for the Bowl for Big Brothers Classic and Big Brothers Golf Classic
  • Act as a Team Liaison, working with companies for the Bowl for Big Brothers Classic
  • Solicit both cash and in-kind sponsorship for the Bowl for Big Brothers Classic and Big Brothers Golf Classic
  • Oversee auction and draw prize solicitation and provide guidance to the Events Assistant regarding identifying new prospects, descriptions, and lot planning
  • Assist with planning of bowling activities for the Bowl for Big Brothers Classic and on course activities for Big Brothers Golf Classic
  • Assist with developing a recruitment and marketing strategy for all events
  • Assist with managing the master schedule and volunteer changes for all events
  • Assist with entering pledges and corporate gifts into the database and provide participant lists for various mail outs as needed
  • Recruit, train, schedule and support event volunteers
  • Manage registration and event day revenue for all events
  • Oversee events accounting procedures and processes

BIG Night of Stars

  • Oversee planning and logistics for BIG Night of Stars awards night
  • Responsible for all marketing materials for BIG Night of Stars, including invitation, program, and PowerPoint 

Other fundraising initiatives and engagement

  • Cultivates and oversees cause-related marketing and corporate group volunteering initiatives
  • Manage third-party events and campaigns, as assigned
  • Manage the pool of event volunteers, creating and implementing a volunteer recognition system
  • Provide reception relief as needed
  • Other duties as required

 

SKILLS REQUIRED

  • Strong event management skills
  • Deadline-oriented with strong attention to detail
  • Strategic and results-oriented with experience working with limited resources
  • Strong oral and written communication skills
  • Excellent volunteer management skills
  • Strong database management skills
  • Proficient in Microsoft Office

 

EDUCATION, TRAINING, & EXPERIENCE 

  • Post-secondary education in a related field
  • 2+ years’ experience in event coordination, non-profit fundraising, or equivalent experience
  • Experience working in a diverse environment with staff, volunteers, donors, sponsors, suppliers, etc.
  • Experience with volunteer management, and soliciting sponsorships and/or donations
  • Experience working with databases required, preferably fundraising software
  • Regular access to a vehicle required
  • Ability to work evenings and weekends
  • Experience in the non-profit sector is an asset
