Administrative Assistant

Start Date: October 11, 2019

Rate of Pay is $20 per hour plus mileage, 35 hours per week. This position includes 3 weeks of paid vacation, personal days and paid sick time.

Nelson House of Ottawa-Carleton, a shelter for women and children fleeing violence, is looking for a full-time, permanent administrative assistant.

The position call for an individual who is a self-starter who can work independently as well as in a team environment. They shall have the ability to exercise good judgement while providing full administrative support to the Executive Director and program workers at the shelter.

They are reliable in their attendance and complete their assignments in a timely manner.

Primary administrative responsibilities are focused on supporting the day to day operations of a very fast paced residential facility (shelter), including maintenance of confidential records, financial files, payroll, phone and email enquiries, organizing and contributing to house maintenance, scheduling, donation management, grocery and supply procurement etc.

Duties Include:

  • Answering business line and directing callers to appropriate employee or service
  • Bi-weekly payroll submission
  • scheduling
  • Filing
  • Grocery and supply procurement
  • Social Media and website support
  • Some financial management
  • Organization and participation in house maintenance


  • A diploma or degree in office administration or equivalent work experience
  • 3 – 5 years of experience in office administration preferred
  • Excellent communication skills


  • Excellent organizational skills
  • Knowledge of violence against women, women’s rights, feminism an asset
  • Ability to carry boxes/bags weighing 5kilos +
  • Professionalism and understanding of handling confidential information
  • Ability to deal with difficult situations with empathy and patience
  • Ability to work accurately and efficiently under pressure and with deadlines.
  • Excellent writing and communication skills in English, French Bilingual preferred
  • Access to a vehicle and valid drivers’ license
  • Some bookkeeping experience
  • Proficiency in Microsoft Office suite, particularly Word and Excel
