We are looking for an energetic, friendly and system’s-oriented person with training and/or experience in being an Executive Assistant to support our Executive Director, Board of Directors and Senior Leadership Team. The organization has been without an EA for many years, and so you have an opportunity to provide significant leadership in shaping the position and getting our governance, senior leadership, and administrative systems to the next level (approximately 80% of the position). This position will also oversee the maintenance of our Quality Assurance systems, organizational plans, and processes required to maintain our accreditation with the Council on Accreditation of Rehabilitation Facilities (CARF) (approximately 20% of the time).

The successful candidate will:

  • Be detail oriented, extremely organized, able to track and follow-up on the progress of multiple projects and deadlines and always striving to improve themselves and their work;
  • Have strong verbal and written communications skills and interpersonal skills including the ability to use warmth, tact and discretion when interacting with others on behalf of the Executive Director
  • Have demonstrated ability to streamline administrative processes and support the organization to maximize the use of its existing technology;
  • Have experience supporting a policy governance Board of Directors including organizing meeting logistics, writing drafts of routine reports, taking and producing minutes and ensuring the official records of the society are up-to-date;
  • Have strong project management skills; and
  • Have data analysis skills, including developing meaningful reports to meet the needs of those interpreting the data.

The job’s starting annual salary range is $55,000 – $60,000.  CMHA provides our employees with a defined benefit pension plan, extended health and dental benefits, paid sick leave, long-term disability insurance, group life insurance and this position will start with at least four weeks paid vacation.  This is an excluded management position.  Some evening and weekend work will be required.


  • Bachelors degree in business, public administration, health or social services field;
  • Minimum 5 years’ experience as an Executive Assistant and/or in Quality Assurance (equivalent education and experience will be considered);
  • Knowledge and understanding of the accreditation process for rehabilitation facilities (preferably with CARF) is a definite asset
  • In-Depth knowledge of and expert use of computer software including Microsoft products (Word, Outlook, Excel and PowerPoint), databases and demonstrated experience supporting staff and organizations to more fully utilize existing technology
  • Able to work effectively under pressure with tight deadlines
  • Able to exercise discretion in dealing with sensitive or confidential matters
  • Demonstrated experience using technology (spreadsheets, CRMs, social media, word processing software, smartphones, email, etc.) and compiling reports from data that can be used to inform and evaluate the activity of the organization
  • Knowledge of mental health promotion and/or programming for people in recovery from mental illness is an asset
