As a key member of the Erin Mills United Church staff team, the Office Administrator is responsible for the effective management of the church office and building.  He/She provides direct support to the Minister and other church staff, and also assists lay leaders, volunteer groups and committee chairs.  The position reports directly to the Minister and is accountable to the Board of the church.

Qualifications & Experience

  • Strong computer skills with Microsoft Office suite and ability to learn new programs
  • Minimum 5 years relevance work experience. Experience with a church or not for profit organization would be an asset
  • Education: Relevant post-secondary education preferred


Key Responsibilities

Administrative support in the areas below.

  • Minister: Assists with scheduling, communications, funerals and weddings, weekly worship bulletins, and audio visual materials
  • Board: Prepares materials for the monthly and annual board meetings
  • Communications, Records and Data Management
    • Assists with communications including church bulletin boards, monthly newsletter, and external sign messaging
    • Ensures and maintains appropriate standards of confidentiality of information in accordance with United Church of Canada guidelines and legal requirements i.e. Revenue Canada, Province of Ontario, City of Mississauga
    • Manages and maintains general office filing systems and church records, both paper and electronic files, including computer backup systems
  • Reception
  • Building and Office Management
    • Supports the Building Board Committees by acting as the key administrative contact for the church building, liaising with providers for maintenance of the building and equipment e.g. elevator, security system, fire prevention, photocopier and property. Attends Property Management meeting as required
    • Orders office and building supplies as required. Acts as liaison with the security company, available as an after-hours contact (to the security company) in case of emergency
  • Liaison for Rental Groups
    • Processes rental agreements and invoices and ensures that liability insurance certificates are up to date.
    • Insures that church facilities are ready for use, that rental groups have building access, and acts as key contact person in case of emergency or other issues that arise


Working Conditions

This is a permanent part time position of 30 hours a week with a competitive salary and comprehensive benefits package.  Daily schedule will be determined with the Minister.
