Department Summary

VGH & UBC Hospital Foundation is Vancouver Coastal Health's primary philanthropic partner, raising funds for specialized adult health services and research for all British Columbians. We partner with donors to drive innovation and sustainable health care at VGH & UBC Hospital, GF Strong Rehab Centre, Vancouver Coastal Health Research Institute and Vancouver Community Health Services. The Annual Giving program is responsible for annual activities including mid-level giving, direct response (direct mail, monthly giving, online giving, telemarketing), tribute giving, grateful patient program, employee giving, Angel Campaign, and identifying major and legacy donors. The majority of revenue in the Annual Giving program comes from donors who give up to $25,000 in support of VGH, UBC Hospital, GF Strong Rehab Centre, Vancouver Coastal Health Research Institute and Vancouver Community Health Services. The Annual Giving program is an important source of undesignated income for the Foundation, raising over $3 million annually. In addition, the Annual Giving donor base provides a pipeline for Major and Planned Giving.

Position Summary

The Associate Director, Annual Giving, is responsible for overseeing all annual giving activities. Reporting to the Associate Vice President, Philanthropic Programs & Donor Engagement, the Associate Director manages a small team and various agency and supplier relationships. Ongoing review, analysis, reporting and adaptation of programs are key elements of the role. The Associate Director tracks industry trends and makes recommendations for changes or enhancements to program strategies and plans. Contact with donors, including personal visits, solicitation and stewardship, is a mandate of the Associate Director, Annual Giving role. Collaboration and communication with other fundraising, marketing, and donor relations staff is necessary to ensure a coordinated approach to program development and management.

Roles and Responsibilities

Responsibility Area: Annual Giving

  • Oversees and monitors all Annual Giving activities
  • Develops and leads online giving initiatives
  • Works with the Associate Vice President, Philanthropic Programs & Donor Engagement to establish financial goals for prospects/donors and to prioritize key donors
  • Develops and implements strategies to grow the Partners In Care mid-level donor program
    • Executes plans to:
      • research, identify, cultivate, and track Partners In Care prospect
      • solicit Partners In Care level gifts in one-on-one meetings or phone calls with donors
      • maintain meaningful relationships with Partners In Care donors, prospects, volunteers and supporters
    • Maintains an active list of contacts for cultivation and solicitation
    • Regularly communicates with donors and prospects through meetings, phone calls, letters and emails for cultivation, solicitation and stewardship. Ensures that all relevant information regarding meetings, visits, donor activities, and related data is recorded in the Foundation’s information systems in a timely fashion to facilitate open communication and a team-based fundraising environment
  • Works with Donor Relations to plan and implement donor stewardship activities
  • Collaborates with Marketing & Communications in planning and execution of communications vehicles targeted at donors, sponsors and prospects
  • Responds to requests from donors for ongoing information about the Foundation
  • Reviews annual giving donors to identify prospects for major and planned giving
  • Liaises with Major Gifts and Estate Planning to ensure effective stewardship of donors

Responsibility Area: Reporting and Segmentation

  • Provides ongoing analysis of programs including review of objectives, analysis, reporting and adaptation
  • Tracks, monitors and evaluates performance of all annual giving programs and identifies and pursues opportunities for revenue growth
  • Develops annual targeting, segmentation and contact plans for direct communication with donors
  • Analyzes campaign/program-end and year-end statistical reports
  • Develops segmentation and testing strategies for annual giving programs
  • Ensures data integrity of online and offline fundraising databases
  • Ensures that online and offline fundraising databases are maintained and monitored as per best practices and policies
  • Develops and monitors key performance indicators for annual giving programs
  • Translates information needs to reporting and data requirements
  • Ensures consistency and quality control of reports (i.e. valid data sources, data integrity, compilation and interpretation of data, validity of assumptions)
  • Keeps abreast of new technologies and techniques

Responsibility Area: Staff and Program Management

  • Participates in organizational planning, manage revenue projections and financial reporting (including benchmarking and campaign results)
  • Develops work plans, budgets, and timelines for implementing for annual giving activities
  • Makes recommendations to the Associate Vice President, Philanthropic Programs & Donor Engagement for program growth, changes, etc.
  • Develops goals and objectives, policies and procedures for annual giving programs
  • Supervises staff responsible for annual giving activities
  • Provides strong and effective leadership, guidance and coaching to staff
  • Creates a collaborative environment that stimulates, motivates, guides, and supports all personnel to contribute fully to the realization of the Foundation's goals and objectives
  • Conducts regular one-on-one meetings with staff
  • Performs annual performance reviews


  • Remains current on fundraising policies and development trends. Maintains up-to-date knowledge of current fundraising industry information, tax issues and planned giving vehicles to ensure maximum opportunities presented for gift commitments
  • Participates in professional organizations and keeps abreast of current and state of the art trends in fundraising and related operations and assists in the implementation of emerging opportunities

Working Relationships


  • Reports to the Associate Vice President, Philanthropic Programs & Donor Engagement
  • Directly supervises a team (currently three full time, permanent employees)
  • Collaborates closely with other Foundation departments including Marketing & Communications, Donor Relations, Major Gifts, Gift & Estate Planning, Fundraising Events and Finance & Information Systems


  • Works directly with individual donors, prospective donors and sponsors
    • Communicates with them on a regular basis in-person, by mail and online
  • Works with medical professionals, patients and hospital leadership
  • Manages external professionals, consultants and suppliers to ensure effective and “on-time and budget” execution of all annual giving programs

Education & Experience

  • Minimum 5 years’ experience planning and executing revenue-generating annual giving programs
  • University graduation in a relevant discipline or equivalent combination of education, training and experience


  • Demonstrated success in developing and growing fundraising programs with specialized knowledge of annual giving fundraising strategies including direct response, mid-level donor program, integrated fundraising campaigns, grateful patients programs, tribute giving, online giving, and corporate giving
  • Highly developed interpersonal and relationship skills and proven ability to exercise a high degree of diplomacy and discretion
  • Superior communication skills: able to write clear and compelling letters and proposals; and make concise and engaging presentations
  • Demonstrated ability to develop and implement effective Annual Giving strategies with strong business analysis skills including a comprehensive understanding of annual giving analytics and reports used to manage fundraising programs
  • Excellent understanding of database management and database concepts, including data enhancement, data quality, data acquisition techniques, and using these in segmenting
  • Demonstrated planning and project management and facilitation skills; proven ability to meet deadlines in a fast- paced environment with multiple, competing deadlines, and time and resource constraints
  • Demonstrated ability to provide leadership and motivation to a team. Experience managing consultants, vendors and suppliers
  • Familiarity with the advanced features of Microsoft Office suite of products; in-depth knowledge of a donor management system (Raiser’s Edge or Salesforce is an asset) and online fundraising software (Luminate Online is an asset)
  • Access and ability to travel locally to meetings and events

This is a full-time 12-month contract with competitive salary.
