CASN is currently seeking an Executive Assistant.

Reporting directly to the Executive Director, the responsibilities of the Executive Assistant include efficiently managing the logistics related to the Executive Director’s portfolio. We are seeking candidates who are exceptionally well organized, have strong communication skills (written and spoken) in French and English, and have sound professional judgement and tact.


  • Coordinates the Executive Director’s agenda, schedule and travel
  • Coordinates internal and external expense claims for the Executive Director
  • Receives, directs and relays email messages and telephone messages
  • Plans, supports and manages teleconferences, in-person meetings and other activities
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text for letters, reports, presentations, briefing notes, correspondence, minutes, speeches and other documents
  • Reviews information for completeness and consistency, both in English and French
  • Takes notes and minutes during teleconferences, in-person meetings and conferences
  • Corresponds with members of the CASN Board of Directors, school representatives and the public
  • Maintains confidential and current files and data systems
  • Welcomes guests by greeting them, in-person or over the telephone
  • Answers or directs inquiries
  • Assisting with general office tasks such as photocopying, faxing, scanning, mailing, couriering and shredding
  • Performs other related duties

What you offer:

  • Post-secondary degree or certification in administration or an acceptable equivalent in education and/or experience
  • Excellent administrative skills with a strong orientation to scheduling, organizing and planning
  • Proficiency with: MS Word Office software (Word, Outlook, PowerPoint, Excel)
  • Great attention to detail
  • Ability to multi-task and prioritize
  • Formal training in word processing, copy editing, and translation review
  • Experience in supporting the work of national committees and task forces
  • Ability to thrive and work effectively in a participative and minimally-hierarchical work environment
  • Excellent oral and written communication skills in English and capacity to communicate effectively in French is essential
