Position title: Chapter Liaison and E-Learning Coordinator
Reports to: Manager, Chapter and Member Engagement
Timeframe: 2-year contract position with the possibility of extension

SUMMARY OF POSITION

The Chapter Liaison and E-Learning Coordinator reports to the Manager, Chapter and Member Engagement and supports the College’s 21 Chapters in their events, activities and in fulfilling their mandate of retention and recruitment of members. The role also involves supporting the chapters and the national office with webinars and the E-Learning Library.

KEY ACCOUNTABILITIES AND RESPONSIBILITIES

Chapter Support

  • Work with the manager on ensuring that required educational, financial and governance reporting are submitted to the national office and maintaining these files
  • Assist chapters with their communication and marketing initiatives and material
  • Coordinate chapter events and e-commerce
  • Keep chapters abreast of College promotional materials on a regular basis
  • Work with Chapters on e-learning activities for Chapter events
  • Coordinate a chapter executive newsletter
  • Keep the chapter web pages up to date on the College website
  • Work with manager to ensure that all chapters are contacted on a regular basis to maintain constant communications and exchange of information
  • Provide additional support to chapter experiencing challenges as needed

Chapter Advisory Council

  • Provide administrative support to the Chapter Advisory Council (CAC) members
  • Provide administrative support to the CAC (agenda, minutes, etc), schedule committee meetings and teleconferences, and compile and circulate pre-meeting materials
  • Prepare membership reports
  • Provide administrative support on chapter funding processes
  • Participate in working groups as necessary
  • Work with co-chairs and Manager on CAC initiatives
  • Provide administrative support for the annual June meetings

Administrative

  • Maintain the Chapter Manual
  • Work with the manager on the development of resource materials and information to assist chapter volunteers in fulfilling their role
  • Support the chapters in developing new tools and services
  • Support chapter orientation sessions
  • Maintain chapter filing system
  • Support the chapters in offering surveys (events, membership satisfaction, elections, etc.)
  • Provide administrative support to the annual chapter award process

Chapter Educational Events

  • Work with the chapters in promoting events through the College’s communications tools
  • Assisting the chapters with using the E-Learning Library and the College’s database
  • Maintain online registration system and set up all chapter event postings
  • Coordinate event evaluation process including preparation of reports
  • Assess events for MOC credits
  • Attend chapter events as required

E-Learning Activities

  • Coordinate College webinars – communicates expectations/requirements for those using the College’s technology
  • Be available for training/testing with chapter executive members, College staff and outside stakeholders
  • Host Chapter/College webinars and provide virtual immediate support for webinars
  • Develop training materials for webinars
  • Communicate with AV departments when necessary
  • Maintain the archived webinars
  • Develop, distribute and report on surveys
  • Distribute archived webinars and presentations following a webinar

General Activities

  • Work with communications team on outreach and engagement with chapters and e-learning
  • Prepare evaluation reports and analysis
  • Be available to provide support to the manager on on-going and new initiatives as required

QUALIFICATIONS

Education and Experience

  • Certificate or Degree in administration or related field or equivalency
  • Expertise with webinars, web content and database applications an asset
  • Two years in a coordination position
  • Experience working with volunteers
  • Bilingual in both official languages is an asset

Skills and Attributes

  • Advanced computer skills in Microsoft Office, PowerPoint, Excel, database, association management systems, web-based conferencing software
  • Excellent organizational skills – strong attention to detail
  • Ability to multi-task and prioritize a heavy workload
  • Strong interpersonal and communication and team skills
  • Ability to work independently as well as within a team environment
  • Flexible for travel when required
