Sales & Business Development

  • Achieving monthly and annual sales targets as forecasted in Potluck’s annual budget
  • Assist with the development and execution of the annual Potluck Sales, Marketing and Business Development Plan
  • Identify and build new catering client relationships through prospecting and soliciting business
  • Maintain frequent contact with key clients
  • Identify and help with the creation and execution of catering sales, marketing, promotional and business development initiatives
  • Identify, arrange and attend catering presentations
  • With the help of catering software, maintain customer data for use in marketing analysis
  • Conduct marketing analysis including regular online customer surveys as required

Managing Catering Orders

  • Responsible for setting up catering orders and events ensuring that the both the Chef, Kitchen and Operations staff have a clear understanding of the catering order or event and any special requests
  • Ensure venue surveys are done for off-premise locations and information is clearly documented for service staff
  • Responsible for accepting and processing catering orders on a daily basis by telephone, email and through our Catering CRM software
  • Liaising with the customer to ensure that their catering needs are met
  • Responsible for arranging any outside catering rentals of equipment and supplies
  • Responsible for meeting with clients to discuss their catering needs and working with the Chef and Senior Kitchen Staff to provide menu tasting sessions where requested
  • Following up on customer catering complaints and ensuring that these are dealt within a proper and timely manner with all different Potluck managers and departments
  • Responsible for providing catering quotes to customers and follow up
  • Stay up to date with financial information and assist other senior staff to meet financial and budgetary targets using objective data for decision making
  • Managing petty cash and cash floats
  • Other duties as assigned

Manage Staff

  • Recruit all event serving staff
  • Develop and implement a event serving staff training program and procedures
  • Manage all event serving staff which includes clearly assigning and communicating job duties, and to monitor and ensure those duties are performed as required and expected
  • Schedule all event serving staff as needed and within budget and ensure that schedule is posted and accessible by other managers and staff
  • Ensure staff arrive and depart as scheduled and duties are completed before end of their shift
  • Responsible for accountability of event serving staff and providing disciplinary measures if needed including documenting incidents
  • Ensure all event serving staff are professionally groomed, presentable and wearing proper clothing or uniforms
  • Mentoring and managing staff with barriers from the DTES community

Coordinate & Support Catering Deliveries & Events

  • Collaborate with Operations Manager to ensure deliveries and events are planned in an efficient manner
  • Assist drivers with the coordination of all catering and event order deliveries and supplies (paper service, condiments, utensils, drinks, serving equipment and supplies) to ensure orders are prepared and ready to be delivered on time and are complete
  • Assist with deliveries when required
  • Communicate with Chef and other kitchen staff on a regular basis about day to day and event plans and needs

Menu & Presentation Techniques

  • Collaborate with Chef de cuisine for custom menu requests
  • Ensure familiarity of staff with Potluck menu
  • Ensure catering presentation is of high quality and consistent


  • Hands-on leader with a minimum of 2 years Management experience in the Food & Beverage / Catering industry
  • Entrepreneurial, with the ability to develop and maintain effective relationships
