Human Resources Assistant

Position Purpose

The Human Resources Assistant acts as the primary contact for volunteers and is responsible for recruiting, scheduling and overseeing all volunteer placements.  This position also supports the daily operations of the HR team, including assisting with the tracking and record keeping for all program staff and volunteer positions.

 

Key Functions

Recruitment & Onboarding

  • Act as the primary contact for all volunteers
  • Create and post ads for volunteer and staff positions, generate application forms, and respond to general applicant inquires
  • Screen volunteers applicants by interviewing, conducting reference and filing completed criminal record checks
  • Schedule, attend and oversee volunteer orientation sessions with in the Lower Mainland and assist regional teams with volunteer onboarding needs
  • Track and record attendance for all staff and volunteer training and orientation sessions, reporting to payroll and following up with various departments to ensure processes are complete

Scheduling

  • Post all vacant positions with internal volunteers and recruit externally for vacant positions
  • Recruit and schedule volunteer positions for special events as required
  • Attend and coordinate volunteers at special events as required
  • Liaise with the Training Team to secure Learning Facilitators to deliver staff and volunteer training sessions

Volunteer Management

  • Assist with the planning and coordination of staff and volunteer recognition events and initiatives across all regions.
  • Assisting with the development of volunteer policies and training programs
  • Implement performance management for volunteers, including discipline, problem and conflict resolution processes for program staff informing HR Manager on all major cases.

Record Maintenance & General Duties

  • Answer all volunteer enquiries in a friendly and timely manner
  • Ensure all volunteer data, schedules and attendance records are up to date in volunteer database, Better Impact
  • Maintains staff HRIS databases, entering information status-changes as they occur
  • Track and record both staff and volunteer certification statuses (i.e. Criminal Record Check, First Aid), communicating and following up on any out of date or expired requirements
  • Maintains employee and volunteer confidence and protects operations by keeping human resource information confidential

 

Job Requirements

Education and Experience

  • Experience in volunteer coordination or in a leadership position a strong asset
  • Degree, diploma or certificate in a related field an asset (such as human resources management, administration, or volunteer management)

Knowledge, Skills and Abilities

  • Excellent organization, planning and project management skills
  • Very strong team player: positive, collaborative, flexible and ability to embrace change
  • Strong time management and prioritizing capabilities
  • Strong skills in MS Office (Word, Excel, Outlook)
  • Excellent oral & written communication skills
  • Strong interpersonal and leadership skills, able to motivate and mentor program volunteers
  • Intrinsically motivated, passionate and self-directed
