Canada has one of the highest rates of multiple sclerosis in the world, making MS Canada’s disease. The MS Society of Canada is the country’s leading MS advocate, funding leading research in MS and programs & services that help people live well with the disease.
This role reports to the Manager, Provincial Programs, BC & Yukon Division. The Quality of Life Grants – Equipment Provision (EPP) program provides home medical equipment to people living with MS who have a financial need to enhance their quality of life and maintain their independence. This position is responsible for the overall coordination of the EPP including the donated equipment pool, the program budget and requires adhering to all MS Society policies.
This position is a position of trust. The incumbent will be required to complete the screening process including completion of appropriate background checks in compliance with the National Screening Measures Policy.
- Responds to all inquiries regarding the Equipment Provision Program.
- Makes referrals to alternate community services and equipment access points when appropriate.
- Acts as the point of contact for community agencies.
- Assesses the eligibility requirements and priority levels of applicants and obtains appropriate documentation.
- Maintains the EPP waiting list by filling requests consistent with policy and the priority system outlined in the policy.
- Communicates with applicants and health care professionals regarding the status of each request.
- Coordinates the transfer, purchase, repair or donation of equipment and ensures all appropriate paperwork is finalized.
- Coordinates the appeals process for those who have been denied service or who wish to request additional funding above the annual limit allowed by policy.
- Follows up with clients to evaluate the program.
Donor Relations and Grant Applications
- Reviews and assesses all offers of donated equipment.
- Works with Fund Development staff and Manager, Provincial Programs on grant applications by identifying and compiling specific equipment requests.
- In consultation with Fund Development staff, implements recognition for donors providing equipment and financial support to the EPP.
- Oversees the program budget, by monitoring expected expenditures and related costs.
- Works with national finance department to reconcile expenditures.
- Reports monthly and provides statistics on EPP expenditures to the Director, Programs.
- Independently makes decisions regarding Equipment Program expenditures, within appropriate approval limits.
Program Development and Maintenance
- Liaises with community resources to access affordable equipment and/or to establish purchasing relationships.
- Maintains appropriate records of service tracking, expense, and time sheets, and submits as required.
- Maintains a database of equipment to track inventory.
- Maintains and updates the EPP Manual and provides it to the Manager, Provincial Programs.
- Provides support, training and advice to chapter staff regarding EPP policy and implementation.
- Trains and supervises EPP volunteers.
- Ensures all program documentation is maintained in accordance with MS Society policies and practices.
- Ensures that all requests satisfy the EPP policy and all service delivery adheres to the policy.
- Maintains and provides all necessary documentation for review of client case files and budget audit.
- Liaises with chapter Community Services Coordinators regarding equipment requests and spending allocations to ensure adherence to BC division policy.
- Develops and maintains the EPP testimonial library.
- Develops communication vehicles (email, mail outs, etc.) for clients, Society staff or medical professionals regarding program news.
- Attends or presents at community events promoting awareness of the program.
- Other duties or projects as assigned by the Manager, Provincial Programs or the Director, Programs and Services.
- Provides back-up to Division Programs and Services as required.
- Limited to Program and Services volunteers
- Diploma in Social Services or related field with at least 2-3 years related experience including a solid understanding of:
o purchasing practices
o problem solving and conflict resolution
o administrative processes in a professional business environment
o setting priorities
o experience interacting with individuals with disabilities desirable
- A valid driver’s license and access to vehicle is required
- Exceptional computer skills to use Microsoft Office and database programs.
- Sound project management, budgeting, and organizational skills and the ability to develop and implement systems and processes to track and monitor requests against established timelines and budgets.
- Excellent interpersonal communication skills.
- Demonstrated capacity to work with clients and members of the medical community.
- Ability to work and make decisions independently.
- Ability to maintain confidentiality at all times and display discretion.
- Excellent time management skills with the ability to prioritize and multi-task.
- Problem-solving, decision-making, negotiating, investigation, and active listening skills.
- Ability to establish effective working relationships with internal and external community contacts.
- Demonstrates positive enthusiasm and is a self-starter.
- Ability to work in a team environment.
- Capable of development of community relationships to promote and enhance the services offered by the Equipment Provision Program.
- Travel within BC will be required (specifically to Division office in Burnaby a few times a year), as well as travel to conferences, meetings and training as appropriate.
- Occasional evening or weekend work may be required.
Location: The successful candidate may be located anywhere in British Columbia, and either work from a home office or within our MS Society office in either Victoria or Burnaby, BC.
