We have an exciting opportunity for a part-time Administrative Assistant to join our fun and energetic multidisciplinary team (currently comprised of 2 Occupational Therapists, 3 Rehabilitation Assistants, 2 Kinesiologists, and a friendly therapy dog) that provides family centered care.  This rapidly growing clinic will be expanding in Summer 2019 to provide rehabilitation services to adults with Parkinson’s disease (exercise classes and anxiety reduction classes), in addition to adults with brain injuries, and teens with mental health diagnoses.  

Job duties will include (but are not limited to):

  • Communication with feepayers and clients as needed
  • Maintaining spreadsheet/attendance tracking lists
  • Client intake over telephone and email
  • Liaising with clients regarding appointment times and necessary documentation
  • Assisting with file/funding preparation, discharges and documentation
  • Assisting with preparation of invoices and client billing
  • Coordination of materials and office space bookings for therapists
  • Greeting / Reception duties
  • Processing of credit card payments and issuing receipts
  • Technical trouble-shooting, as needed
  • Assisting with cheque reconciliation

Hours: Flexible (30 - 35 hours per week)

  • Thrives when working as part of a driven and motivated team in a fast-paced environment with deadlines, with significant collaboration with an experienced team of Rehabilitation Assistants, Kinesiologists and Occupational Therapists
  • Possesses a high level of attention to detail
  • Possesses excellent interpersonal skills and can maintain regular email, phone, and in-person interactions with external funders, schools, and families
  • Self-motivated with strong organizational skills
  • Comfortable with online charting systems
  • Possesses Native English language proficiency
  • Possesses excellent problem-solving skills
  • Comfortable with utilizing Microsoft Word and Excel
  • Able to implement feedback easily
  • Tactful and able to maintain confidentiality of patient information when handling sensitive information
  • Able to prioritize and manage workload independently
