What you’ll do

BC Children’s Hospital Foundation (BCCHF) is looking for an experienced, detail oriented and highly organized Administrative Assistant to join its Corporate Partnerships team on a maternity leave contract team to support its activities.

In this role, you would provide administrative and project support to the Director, Corporate Partnerships and other team members as needed.

More specifically, this role is responsible for:

  • Provides administrative support for the Director, Corporate Partnerships including managing calendars, scheduling appointments and coordinating travel arrangements;
  • Supports the fundraising activities of the Director by coordinating donor meetings, taking meeting minutes, assisting in the preparation of confidential correspondence, formatting donor proposals, creating collateral materials, entering actions in the donor database and assembling materials for meetings and presentations;
  • Assists the Director in managing the Corporate Partnership Team by organizing team and 1:1 meetings, ordering supplies, tracking days off and pay period reports, coordinating courier service;
  • Maintains the Corporate Partnerships Program revenue and expense tracking, including tracking Miracle Weekend financials and bringing forward discrepancies to the Director and/or other members of the Corporate Partnerships Team;
  • Supports the Director in the management of Children’s Miracle Network (CMN) and Canada’s Children’s Hospital Foundation’s (CCHF) programs by completing quarterly reconciliations of incoming funds, organizing meetings and agendas and taking meeting minutes;
  • Assists with the recognition and stewardship processes by collaborating with the Donor Relations team to draft thank you letters, create stewardship reports and assist in the planning of recognition events as needed;
  • Provides administrative and logistical support to donor events as needed (this could include arranging tours, cultivation and recognition events).


What you bring

You have a passion for organizing tasks, projects and people and have a natural intuition for how to balance diverse and competing priorities. You enjoy managing multiple projects and deadlines and helping your team achieve success.

You have a diploma or certificate in professional administration or a related discipline (e.g. business, marketing, fundraising). You possess excellent administrative skills with a minimum of 1-3 years of relevant experience directly supporting a senior manager (or the equivalent combination of related skills and experience). Experience working for a not-for-profit or working as part of a philanthropy team is a definite asset.

In addition to the qualifications, our ideal candidate has:

  • Proficiency with Microsoft Office applications (Word, Excel, Outlook and PowerPoint)
  • Strong calendar management skills with the ability to effectively manage a busy calendar
  • Experience with preparing budgets, tracking revenue and expenses and conducting reconciliations
  • Experience with database administration; Raiser’s Edge experience is an asset
  • Excellent communications skills with an ability to draft, proof, and edit a range of written materials
  • Ability to handle sensitive and confidential information appropriately and with discretion
  • Well developed time management and organization skills with an ability to efficiently manage a diverse range of assignments while meeting multiple deadlines
  • Strong team player with an ability to work collaboratively as well as autonomously
