Summary of Responsibilities


Reporting directly to the Chief Executive Officer (CEO), the Executive Assistant has overall operational responsibility for day-to-day administration, and for managing selected projects.  The Executive Assistant will work closely with the CEO, HCCC Board of Directors (BoD) and its membership in identifying areas for strategic engagement and advancing policy priorities, developing and maintaining strategic relationships with public policy officials and coordinating legislative and government affairs activities for the Health Charities Coalition of Canada (HCCC). The Executive Assistant works to ensure HCCC has an authoritative voice on health policy and research issues affecting the health of Canadians and to encourage engagement in the coalition.




  • Relevant post secondary degree or comparable combination of education and experience

Experience and Knowledge

  • 3-5 years of experience in an administrative and coordinating role, preferably in a voluntary sector organization, supporting a CEO and Board of Directors
  • Project management experience
  • Financial management experience, including accounts payable/receivable
  • Experienced relationship builder in a multi-stakeholder environment
  • Experienced in sourcing and synthesizing information, implementing evaluation strategies and analyzing information
  • Knowledgeable about the health charitable sector


  • Solid administrative, project management, organization and coordination skills
  • Excellent communication and interpersonal skills; tact, diplomacy and maturity in dealing with senior level executives
  • Ability to develop and implement work plans and budgets
  • Demonstrated ability to set priorities and juggle competing demands under pressure
  • Detail oriented with high degree of accuracy
  • Ability to produce effective, written communication resources and reports
  • Ability to work independently, under limited supervision
  • Ability to work in both official languages
  • High level of proficiency in Microsoft Word, Excel, PowerPoint, and Outlook required as well as familiarity with web-based meeting processes 
  • Strategic thinking and analytical skills
  • Savvy with social media (Twitter)

This is four day a week (30 hours), 1-year Maternity leave contract position which is based on a 7.5-hour workday. This position is housed in a downtown office and requires travel twice a year for an average of two days each time.
