Administration Assistant

The position of Receptionist is responsible for answering all incoming calls for the organization, greets guests and completes clerical duties as assigned by the Executive Assistant/Office Manager.

This position complies with all VITA Policies and Procedures, follows VITA’s Mission, Vision and Value Statements. It is agreed that this position will work in compliance with the provisions of the Occupational Health and Safety Act and Regulations and with the Ministry of Community and Social Services. It is the pledge of each staff to provide safety, practice respect and promote community while working at VITA.

Position: Administration Assistant (12-month contract)**

Hours of Work: 8:30 am to 4:30 pm (Monday-Friday)

Rate of Pay: $18.54 - $20.42

Job Location: 4301 Weston Road, Toronto, ON (VITA’s Head office facility)

Key Job Summary:

  • Provide clerical support to all administration and programs.
  • Promptly answers, screens and directs incoming calls to appropriate staff in a professional and courteous manner and takes messages when required
  • Checks and responds to the company voicemail system on a daily basis.
  • Greets all visitors and informs appropriate personnel.
  • Opens and distributes all incoming mail.
  • Performs other related duties as assigned.

Qualifications & Experience:

  • Minimum 2-years prior experience working in a receptionist role
  • Knowledge of switchboard duties an asset
  • Ability to maintain confidentially, prioritize and meet required timelines.
  • Ability to handle multiple tasks
  • Excellent interpersonal and communication skills (both oral and written)
  • Proficient computer skills required, MS office, excel, PowerPoint
