Role of the Membership Coordinator

The Membership Coordinator (MC) is responsible for a variety of membership programs with a focus on member renewals, retention, recruitment, tracking, and reporting. The MC will be responsible for development activities including data management, production of acknowledgement letters, oversight of the membership drive and generation of mailing lists and reports. 

Major Responsibilities

  1. Provide a high level of customer service to foster strong relationships with members, non‐members, and stakeholders.

  2. Coordinate the annual renewals, membership appeals, and special appeals, including preparing and distributing appeal letters/packets, overseeing production of mailing lists, and preparing all gift acknowledgement letters.

  3. Manage the membership databases, including overseeing all data entry, imports and exports, cleanup, and tracking.

  4. Compile, analyze, and provide reports on membership composition and trends for staff members, the Member Relation Committees, and the Board(s).

  5. Assist members and potential members with member / event registration by providing a high level of customer service on the phone, in person, and via email.

  6. Other duties as assigned by the Executive Director(s).

Required Skills, Knowledge, and Abilities

  4. Attention to detail, high standards, and an eye for accuracy, especially error‐free data entry and writing.

  5. Clear and accurate writing, editing, and verbal communication.

  6. The ability to manage multiple clients, tasks and work in an often work environment.

  7. The ability to maintain strict confidentiality of member and organization information.

  8. Excellent skills in word processing and spreadsheet management.

  9. Familiarity with nonprofits and membership best practices, tools, and techniques.

  10. A genuine interest in keeping abreast of trends in nonprofit membership tools and techniques.

  11. Strong analytical and organizational skills.

  12. The ability to meet daily, weekly and monthly deadlines consistently.

  13. The ability to rapidly learn and use new software.

  14. The ability to deal effectively and tactfully with a wide variety of people in correspondence, on the telephone, and in person.

  15. A focus on getting to know people and communicating with them.

  16. The ability to make decisions and resolve practical problems independently.
