General Summary:

Under the supervision of the Bilingual Professional Development Lawyer, the Bilingual Program Coordinator is responsible for the end-to-end preparation for and delivery of TAS’ advocacy education programs, as assigned. This position includes working closely with and building relationships with stakeholders including program participants, faculty, and volunteers.

Essential Functions:

  1. Coordinates program and event-specific requirements including registrant, faculty, and speaker correspondence and all program materials, compiling faculty and volunteer information, securing volunteers if needed, producing function roster, requesting and receiving venue contracts and catering orders for approval, and ensuring post-program expense submissions. In addition, this position provides customer service to members and registrants and addresses program inquiries.

  2. Inputs program calendar, and processes registration and payment information into IMIS database, trouble shooting issues as needed. Tracks registrations and revenues against previous year as well as against budget and provides weekly chart/report.

  3. Coordinates on-site program execution including venue/room, AV and equipment set up, greets participants and faculty, manages registration desk, distributes materials including name tags and other required information, solves on-site problems, as well as ensures distribution of evaluation forms, follow up, and completion of post-program requirements. This responsibility includes exploring possible future opportunities by reviewing feedback forms, as well as summarizing contents and providing to faculty.

Other Responsibilities

Responsible for additional deliverables and projects as evolving TAS business needs may require.

Knowledge, Experience, Skills & Abilities:

  • Fluently bilingual in English and French.
  • Previous law firm or legal industry experience preferred.
  • Event planning diploma or certificate required.
  • Volunteer management experience required.
  • Excellent written and oral communication skills. Able to communicate effectively with professionals at all levels.
  • Strong project management capability including managing timelines and deliverables.
  • Excellent interpersonal skills, a good “networker”, creates and nurtures trusted relationships with professionals at all levels.
  • Ability to maintain a positive client service orientation.
  • Proficient with Windows and Microsoft Office software suite including Outlook, Word, Excel, and PowerPoint.
  • Highly motivated, is proactive and self-initiating.
  • Ability to work flexible/off-standard hours and occasional travel will be required.
