The role of the Program and Office Coordinator provides administrative and coordination support for the ongoing management of the Career Services Programs and offices of Dress for Success Vancouver.  The Career Services Programs offer clients the tools they need to set and achieve realistic, sustainable employment goals and economic empowerment both in the near and the long term. Dress for Success Vancouver has two office spaces for programs and charitable purposes. The Coordinator works closely and collaboratively with the Program Director to ensure clients are receiving appropriate education and mentoring from qualified, trained, motivated volunteers and will support the day to day operations of the Dress for Success Vancouver programs space.  This person in this position will be a key member of the DFS office staff, demonstrating the importance of a caring, professional, and inclusive environment. Hours vary, but typically will include a Tuesday through Saturday work week and may evenings to accommodate programming and events. This position reports directly to the Program Director. 

 

Responsibilities:

  • Work closely with Program Director in implementing a successful new Professional Women’s Group (PWG) through recruitment efforts 
  • Administer digital platform for PWG including email, social media and website
  • Manage Dress for Success general email and voicemail and triage emails to appropriate staff
  • Ensure that the programs office is open each morning for 9am sharp and that office supplies are appropriately stocked
  • Help find and secure free or low-cost space for PWG meetings 
  • Create and maintain a list for PWG and Career Centre speakers
  • Assist in recruiting and training PWG mentors 
  • Assist in creating monthly Career Centre e-newsletter
  • Provide administrative and office support on all aspects of Dress for Success programs; 
  • Coordinate and provide follow up on the PWG monthly meetings and managing communications to participants and mentors;
  • Assisting the Program Director on ensuring the delivery of PWG and career services strategic goals;
  • Taking an active role in the ongoing management and delivery of the Career Center initiatives (workshops, career 1 on 1’s, newsletters, etc.); 
  • Manage PWG and Career Centre surveys and assist in writing reports
  • Expectation to attend and assist managing PWG meetings 2 Saturday’s a month and Career Centre Workshops, one evening a month, e.g. facilitate, set-up, clean-up, buy food 
  • Represent Dress For Success at events as required;
  • Be the primary individual responsible for maintaining record hygiene and data reporting from Salesforce for all programs
  • Onboard and maintain accurate referral agency accounts in the  SuperSAAS system 
  • Performing additional office duties as required and help with donor drop-offs and clothing pick-ups.

  • Exceptional communication skills (written and verbal);
  • Proficiency in MS Office Programs;
  • Proficiency in/ experience with Salesforce;
