The Coordinator, Tiffany Circle works as an integral member of the Major Giving channel to support the achievement of organizational goals by contributing to a high-performance, donor-centered team and a collaborative work environment. Under the direction of the Associate Director, Tiffany Circle, the Coordinator is responsible for coordinating the Tiffany Circle Program’s administrative requirements and communications with members to ensure an exceptional member experience. In addition, the incumbent is accountable for providing support to Philanthropy volunteers and committees providing leadership to the Program.

RESPONSIBILITIES
 

Responsibility 1.       Tiffany Circle Program Coordination

  • Ensures the timely onboarding of new Tiffany Circle members including thank you letter from the President & CEO and new member welcome package
  • Codes Tiffany Circle-related donations for processing, reviews and verifies that gifts, pledges, pledge payments, and pending fund transfers have been handled correctlye
  • Interfaces with the Donation Processing Centre regarding receipts, coding, donor concerns and donor special requests to ensure the highest quality of customer service
  • Coordinates the acknowledgement of Tiffany Circle gifts and pledges and prepares pledge payment reminders
  • Ensures membership is tracked and coded in Raiser’s Edge
  • Provides support to Tiffany Circle Volunteer Committees (National Steering Committee, Strategic Plan Subcommittee, Member Relations Committee, International Council) including meeting scheduling, RSVPs and setup, preparation and distribution of agenda and minute taking
  • Coordinates the onboarding of Philanthropy volunteers in collaboration with Volunteer Services
  • Coordinates the development and distribution of member communications including Calendar of Events, The Circular, Year in Review, member directory, website updates, other special messages/updates and associated action entry into Raiser’s Edge
  • Tracks special recognition items, manages inventory and liaises with suppliers
  • Manages inventory and fulfills member orders of branded items such as business cards, stationery, pashminas and shirts

 

Responsibility 2.       Team Administrative Support

  • Interacts with the office of the President & CEO, CDO, VP and other administrators to relay information, seek advice, and engage parties in visits/events/meetings
  • Prepares materials and presentations for donor calls
  • Composes and prepares Tiffany Circle donor correspondence including acknowledgement and thank you letters
  • Composes and prepares templated gift proposals
  • Provides general administrative support including scheduling meetings with donors and volunteers, submitting reimbursements, booking travel and ordering supplies
  • Runs and distributes a variety of reports using Raiser’s Edge to support the fundraising function; requests additional RE data and reports as required
  • Ensures accurate Major Giving donor information in databases by creating new records, updating records, coding and adding notes/actions as required
  • Maintains the Major Giving InfoSite.

 

Responsibility 3.       Support to the Associate Director, Tiffany Circle

  • Provides general team management support such as vacation trackers, booking team meetings, ensuring agenda and minutes are distributed
  • Special projects as assigned

 

General Responsibilites

  • Follows all policies and procedures as required to maintain a healthy and safe working environment
  • Supports and acts as back up for administrative staff in other channels
  • Performs other duties as required

 

QUALIFICATIONS

The minimum qualifications for this position are post-secondary school education in fundraising, communications or marketing and 3 years of job related experience, or an equivalent combination of education and experience.

  • Experience and commitment to excellence in customer service in supporting partners, volunteers and donors
  • Knowledge of philanthropy practices and familiarity with donor-centred fundraising with a strong desire to improve donor experience
  • Natural curiosity and drive to investigate and resolve issues
  • Excellent interpersonal skills demonstrating a collaborative approach with a willingness to engage constructively with internal and external stakeholders
  • Strong oral and written communication skills
  • Exceptional organizational skills and the ability to coordinate multiple projects within tightly prescribed timelines
  • Ability to work within and meet deadlines in a fast paced environment with conflicting priorities and ability to adapt to change
  • Strong commitment to performance of tasks, high level of energy, attention to detail, enthusiasm and ability to work independently
  • Discretion with sensitive and highly confidential information
  • Strong commitment to skills development and learning
  • Bilingualism (English/French) an asset
  • Committed to the Principals of the Red Cross Movement
  • Expertise in Microsoft Office Suite

 

WORKING CONDITIONS

The majority of this work will be performed in a safe and clean environment.  This position may require working non-traditional hours to meet the needs of donors and volunteers and during times of disaster or appeal.
 

Please note that there is no relocation package for this position.
 

This position requires a successful Canadian criminal record, reference check, valid provincial driver’s license, and First Aid certification (training provided). The Canadian Red Cross Society is an equal opportunity employer.
