The Donation and Database Specialist is solely responsible for the integrity of Raisers’ Edge, the philanthropy relationship management database, and for developing and executing detailed segmentation plans to drive performance through support of national and regional fundraising programs. He/she is responsible for executing and monitoring the online giving program and direct mail plan as core programs of the philanthropy department. He/she provides input into revenue-generating programs being executed in the regions, as well as the national stewardship program. The incumbent is responsible for identifying areas requiring remediation and recommending improvements as a means for informing, contesting, and refining national fundraising targets.

The Donation and Database Specialist serves as the centre of expertise for the integrity and manipulation of the Raisers’ Edge database as an integral tool for the delivery of all fundraising programs, ensuring that it operates to its full potential to maximize revenue. He/she supports the national stewardship program through accurate and effective management of donor information and relationships. Accuracy of data and timeliness of dissemination are imperative to drive strategic approaches as financial donors move through the pipeline of engagement, resulting in an increase in financial giving.

The Donation and Database Specialist mitigates risk to corporate reputation through accurate financial donation processing and advising on customized high-touch stewardship plans. The incumbent develops and manages performance reporting processes utilizing the Raisers’ Edge database and provides advice to the team on trends/areas requiring analysis/mitigation.

  • Supports all information/data related to financial donations, donors and prospects in Raisers’ Edge data management system.
  • Financial Management: Executes end-to-end donation processing from receiving financial donations, entering data into Raisers’ Edge and overseeing tax-receipting process.
  • In collaboration with divisions across the organization, provide efficient and accurate information on the progress of the fundraising programs.
  • Prepare and maintain relevant reports pertaining to the department performance across all programs.


Education, Training and Experience:

  • Post-secondary level education in a relevant discipline from a recognized academic institution or appropriate combination of education and experience.
  • A minimum of six years’ experience working with not-for-profit organization(s) in a fundraising environment
  • Extensive knowledge of Raisers’ Edge, including Luminate Online, Team Raiser and NXT
  • Experience in direct mail and online fundraising methodology, planning and execution

An equivalent combination of education, training and experience may be considered.

Demonstrated Competencies, Knowledge, Skills and Abilities:

  • Solid understanding of fundraising principles and experience in Direct Mail solicitation
  • Demonstrated proficiency in Raisers’ Edge donor segmentation and reporting methods with an understanding of their financial impacts is essential
  • Excellent written communication skills
  • Excellent analytical skills regarding donor segmentation
  • Excellent planning and organizational skills
  • Exceptional interpersonal skills, including teamwork, facilitation, influencing and negotiation
  • Demonstrated professionalism, judgment and discretion in dealing with confidential or sensitive matters
  • Understands the need for privacy, protecting and maintaining confidential donor and volunteer information and data.
