Job Summary

Reporting to the Manager, Vacancy Locum Programs, the Operations Coordinator is accountable for working collaboratively to coordinate the delivery of agency locum programs.  Key roles and responsibilities include:

  • Maintaining a portfolio of physicians/communities by preparing approval letters/contracts, reviewing expense claims, preparing payments, administrating program eligibility, and physician credentialing.
  • Ensuring accurate and timely issuing of payments through review/audit and sign-off as part of a regular payments process.
  • Investigating, assessing, documenting and providing options and recommendations regarding physician, hospital, and community program eligibility.
  • Liaising with stakeholders for physician, hospital, and community requests/inquiries.
  • Preparing presentations, briefing materials, statistical reports and external communications for internal management, the ministry, and other stakeholders.

Skills and Knowledge

  • Post-secondary education in a related field (such as health, social sciences or political sciences), coupled with 3 years of experience in non-profit sector, healthcare and/or government.
  • Organization, prioritization, time management and attention to detail to coordinate a high volume of work in a fast-paced environment with multiple priorities and deadlines.
  • Research, analytical and problem-solving skills to investigate issues pertinent to the program, find trends in program data, identify options, and make recommendations.
  • Analytical skills to prepare and maintain spreadsheets, use databases, produce accurate financial reports, and to report on trends, key issues, and recommendations.
  • Current knowledge of the hospital/health care sector and health human resources issues, including physician recruitment and retention challenges and best practices in Ontario.
  • Oral and written communication skills to maintain stakeholder relations with an emphasis on customer service delivery and consultation.
  • Diplomacy, tact and political savvy to resolve complex issues while remaining calm and poised in stressful situations.
  • Discretion to maintain confidential and sensitive personal information.
  • Self-directed collaborative skills to work well independently and within a team environment.
  • Knowledge of MS Office programs and web applications.
