Job Summary
The role of Programs & Events Associate will create, plan and execute professional development programs and events to serve the needs of a diverse membership in the investment industry. The incumbent will work closely with various volunteer committees for planning and development of the events. Programs may be delivered through various mediums and formats including workshops, seminars, webinars, conferences and other special events.

This role is best suited for an enthusiastic, charismatic and initiative-taking individual that is a team player who is interested in building their skills within a small, dynamic organization. This role is suited to someone who is able to deal with a flat organizational structure and displays a high degree of initiative.

This role is supported by Director, Member Services.

Primary Responsibilities:

Planning & Development

  • Work closely with volunteer committees to plan and develop event and programs to anticipate and meet member demand and engagement
  • Program Committee Volunteer Management
  • Co-plan and conduct the Program Chairs Group meetings, providing key data, information and analysis to support decisions and planning
  • Create and/or update event marketing content for various platforms, including social media
  • Develop reports, letters and general announcements for programs and events
  • Plan and support Society events, including non-programming committee events as assigned
  • Effectively manage reputational risk to Society when planning events

Execution & Evaluation

  • Act as a liaison between speakers, third party vendors and various committees in the implementation and execution of events, including negotiating and finalizing speaker and/or vendor contracts
  • Source, plan and negotiate all event requirements including venue, AV and catering requirements
  • Develop, track and report on project plan to execute programs and events within budget
  • Update and maintain virtual resources for events area of the website including posting presentations, webinars, webcasts, and maintaining the webpages related to events or programming committees
  • Ensure timely marketing and communication of events via CFA Society Toronto website and other sources to achieve attendance goals
  • Manage and execute all program/event logistics including volunteer and staff resources and attendee event registrations
  • Assist with room set-up and wrap-up for programs and events
  • Script writing and event material production, including presentation slides, usage of audience engagement apps/platforms (eg. EventMobi, Slido) and other program/event requirements
  • Providing excellent customer service towards all our stakeholders
  • Create, execute and analyze measurement and evaluation standards to measure program success
  • Report on programs and events as required
  • Perform additional duties, projects and assignments as required


  • Invoice reconciliation and processing
  • Maintain the CRM database of volunteers and committees
  • Manage the scheduling and catering requirements for committee meetings

Education, Knowledge & Skills

  • Bachelor degree or equivalent education and work experience
  • Minimum 3 years event management experience in a profit or not-for-profit organization
  • Experience in and/or a preference for working in a small office and/or non-profits environment
  • Project management experience including budgeting and scheduling
  • Strong stakeholder servicing skills
  • Strong organizational skills, including the ability to handle changing priorities
  • Strong attention to detail and accuracy
  • Ability to work under pressure and complete tasks with minimum direct supervision
  • Ability to prioritize with professionalism and ease
  • Ability to work flexible hours as needed
  • Familiarity with association management software (Microsoft CRM, Salesforce and CVENT) considered an asset
  • Intermediate level knowledge of MS Office 365 applications
  • Basic/Intermediate HTML knowledge
  • Familiarity with various social media platforms, particularly LinkedIn and Twitter
  • General knowledge of the financial services industry considered an asset

    This position may require time commitments outside of normal business hours.
