Position:                                Communications Coordinator 

Accountability:                      Executive Director

Director Supervisor:             Director of Development

 Hours of Work:                    Full time (some weekend and evening work as required to respond to committee meetings and staffing special                                                  events.)

Purpose of Position:

Working as part of the staff and Volunteer team, the Communications Coordinator will assist in the development and implementation of creative concepts and content; execute the marketing and communications programs; and provide logistical, marketing and planning support for fundraising events 

Qualifications Include:

  • Post secondary degree in communications, public relations, marketing, or related field; or suitable combination of education and experience
  • Strong spoken and written communications skills in English, preferably also in French
  • E-marketing and Social Media experience
  • Excellent computer skills in MS Office, Adobe Illustrator, Photoshop 
  • Self-motivated, energetic, creative
  • Ability to work well on own and work effectively as a team player

Assets to this Position:

  • Experience in not-for-profit environment
  • Experience working with the media (TV, Radio and Print) to write media advisories and releases and schedule interviews

Responsibilities Include:

Marketing and Communications:

  • Writing copy and consulting on design of communication and marketing materials such as brochures, event posters, displays, hard and soft copy newsletters, etc.
  • Write and design both print and electronic direct mail appeals
  • Preparing content for e-communications including social media such as Facebook and Twitter
  • Ensuring address lists for e-newsletters is kept up-to-date
  • Ensuring all the organization’s websites are up-to-date
  • Creating all media releases and advisories
  • Responding to request by media
  • Actively promoting the organization to the media by developing and writing stories of interest 
  • Maintaining up-to-date communications distribution list of media contacts; 
  • Liaising with vendors, suppliers and designers to ensure consistency in marketing material 
  • Securing pro-bono advertising space in appropriate media
  • Keeping records of all media coverage and undertakings
  • Responding to requests for communications and marketing support from the Director of Development and Executive Director
  • Ensuring timely recognition of organizational supporters through website and social media platforms 
  • Maintaining and distributing organizational PSA’s according to procedure 
  • Providing writing and editing support including assisting in preparing presentations.


  • Assisting in identifying ways to expand participation in fundraising events
  • Assisting in planning fundraising and other events (ie: Annual General Meeting; Agency Meetings, Backpack filling, Annual Corporate Hamper Packing event, etc.)
  • Developing communication/marketing plan for events as requested
  • Participating in identifying organizations to approach for event sponsorship opportunities
  • Assisting in the development of sponsorship packages
  • Coordinating publicity for events including coordinating with the media and VIP’s for launch of art contest, attendance at hamper packing etc.
  • Ensuring post event ‘thank you’s’ are sent and all promises made to sponsors are provided for (including signage at the event, inclusion on web site and any pre and post publicity as appropriate

Other General Duties:

  • Assisting other staff members in answering phone calls and responding to questions from the public, donors, and volunteers.
  • Networking outside the office to better promote the organization (ie: attend appropriate events held by other organizations as requested)
  • Sending greeting card on behalf of the organization to VIP’s, volunteers and supporters as necessary
  • Attending special events as required.
  • Assisting in responding to walk-in donors and clients
  • Keeping up-to-date on latest social network programs and techniques
  • Other appropriate duties, which may be assigned from time to time.
