Volunteer: DATABASE COORDINATOR

Reports to: Director, Programs and IT/Manager, Foundations & Individual Donor Relations

 JA Central Ontario is committed to engaging students and stakeholders in the Toronto, York, Peel, Halton, Durham and Simcoe regions with education programs focused on work readiness, entrepreneurship and financial literacy. These programs are delivered to youth in elementary, middle and high schools by business and community volunteers to help them thrive in a global economy.

PURPOSE OF THE ROLE:

The role of the Database Coordinator is to enter donor data, remove any data that is incorrect, incomplete, improperly formatted, or duplicated in the Salesforce database.  He/she will be responsible for updating records and inputting historical data.  The role also requires that all recorded transactions are correctly entered and captured in the database.

KEY RESPONSIBILITIES:

  • Search the database to for duplicate entries
  • Checks for duplicate records on contact and organization pages and removes the records using Demand Tools
  • Works closely with revenue team to identify and setup hierarchy in database
  • Inputs donor information and enters payment and allocation details
  • Enters survey results
  • Ensures correct campaigns and appeals are aligned with fiscal year
  • Identifies inactive reports and dashboards and removes them from the database
  • Removes unsubscribed contacts from the database and update volunteer profiles to inactive (volunteers who have not participated with JA for 2 years or more)
  • Update organization contact information for screening and marketing purposes
  • Uploads, scans and attaches police record checks to contact record’s profile

KEY COMPETENCIES AND QUALIFICATIONS:

  • Previous work experience in Salesforce CRM or similar CRM an asset
  • Experience scrubbing data and working from excel spreadsheets
  • Attention to detail and accuracy
  • Ability to read reports and filter information
  • Effective verbal and written communication skills
  • Able to work independently
  • Maintains customer confidence and protects operations by keeping information confidential
  • Results driven attitude
  • Effective organizational skills

 SUPERVISION

The Database Co-ordinator will be supervised by the Director, Programs & IT and/or the Manager, Foundations & Individual Donor Relations.

The Director, Programs & IT, is responsible for the integrity of all corporate databases, and ensuring the data and information contained therein is accurate, complete and current, in a format whereby all student, teacher, school, school board, volunteer, individual donor, and corporate information can be readily retrieved and utilized in decision-making and summarized reporting.

The Manager, Foundations & Individual Donor Relations is responsible for the integrity of all individual databases and ensuring the data contained therein is accurate, complete and current and in a format that can be readily retrieved for decision-making and reporting.

TIME COMMITMENT

Approx. 7 to 14 hours a week on a flexible schedule
