Manager, Volunteer Program

The Organization:

New Circles Community Services is an innovative agency, driven by volunteers, which provides clothing and skills building programs to residents of Thorncliffe Park, Flemingdon Park, Victoria Village and Crescent Town neighborhoods where household poverty levels are among the highest in Toronto.   The majority of the population have lived in Canada less than five years.

Established just 10 years, New Circles has grown rapidly to become the largest clothing service in the city.  Each year, we have hosted 18,000 visits from people of all ages and distributed 200,000 items of clothing. 

All of our clients live on very limited income; most are new to Canada and many are refugees seeking asylum.  They face complex social and economic challenges, including resettlement to Canada, health issues, abuse, trauma, and addiction.  Last year we served clients from 147 countries of origin.

We are currently looking for a Manager, Volunteer Program to help us to cultivate our volunteer capacity in order to support our growing programs and services.


Summary of Position:

The Manager, Volunteer programs contributes to the efficient day-to-day operations of New Circles Community Services by providing leadership for our volunteer program and related communications initiatives.  The Manager, Volunteer Programs is part of the agency’s senior leadership team and reports to the Executive Director.

 

Direct Reports:

Contract based staff, placement students and volunteers

 

 Accountabilities:

  • Develop and execute operational work plan for the volunteer program to deliver services that align with approved strategy.
  • Manage the New Circles volunteer program Including:

a)      Volunteer recruitment

b)      Interviewing and selection

c)       Orientation and training

d)      Placement

e)      Overall supervision and feedback

f)       Retention

  • Database management of volunteer information and profiles
  • Develop and implement volunteer recognition strategies designed to build strong volunteer relationships and support.
  • Work collaboratively with the Executive Director with respect to program budgets, allocation of resources, priorities, program needs and potential purchases. 
  • Conduct research
  • Provide leadership to volunteers by:

a)      Articulating goals of the Volunteer Program

b)      Providing opportunity and support for success

c)       Providing feedback and measurement of success

  • Relationship Management – helps New Circles to build key relationships with and coordinate activities with:

a)      Volunteers

b)      Other agencies

c)       Associations

d)      Service Providers

e)      Other New Circles staff

  • Make recommendations for improvements to policy and practices to the Executive Director
  • Acting as a workplace Health and Safety ambassador
  • Manages the Women`s Empowerment volunteer-led programs which include: Peer Language Training and Friendship Circle. 

a) Liaising with facilitators to ensure they have the resources they need to deliver the program          and to identify opportunities to enhance programming

b) Providing logistical support for these programs which may include: coordination of room bookings, refreshments planning/purchase, TTC token management etc.

c) Coordinating community trips and workshops designed to enhance the program experience

d) Ensuring program evaluation, measurement and reporting

  • Other duties as assigned

 

Skills, Experience & Attributes:

  1. Undergraduate degree in a related field and/or diploma and/or equivalency with a minimum of 3 years of work experience in a volunteer coordination and support role
  2. Experience with a Not for Profit or social service agency would be an asset
  3. Is willing and able to take co-lead as occupational health and safety representative (training will be provided as required)
  4. Understanding and appreciation of diversity; a second language would be an asset
  5. Superior organization and planning.  Experience in project management would be an asset
  6. Professionalism and diplomacy of communications
  7. Nonjudgmental attitude towards people
  8. Ability to work cooperatively with others to achieve team and organizational tasks and goals
  9. Adaptable and flexible to work with a diverse human resource base
  10. Ability to work productively and make decisions in a fast-paced environment
  11. Excellent interpersonal skills
  12. Excellent communication skills (verbal and written)
  13. Computer proficiency and record keeping skills, Client Relational Management (CRM) software
