Administrative Coordinator


Term Employment to May 31, 2018 – 18 hours per week

The mission of the Dalai Lama Center is to educate the hearts of children by informing, inspiring and engaging the communities around them. Our goal is for BC to become the first major jurisdiction in the world to realize the Dalai Lama’s vision for a Heart-Mind balance in formal education, community and families.  Job Description

The Administrative Coordinator will report directly to the Program Director for all program related duties, and directly to the President & CEO for all other duties. This position provides assistance in the day-to-day operation and administration of the DLC, including all general administration and programs and initiatives as needed. The Administrative Coordinator is actively involved in administration, scheduling, board meeting documentation and minutes, expense reports, meeting setup, invoices, scheduling social media posts, event registration, drafting correspondence, communicating with external parties by phone and email, and organizational planning. This position requires self-initiative, an ability to work effectively as part of a team, and an ability to manage changing priorities as outlined by the Program Director and CEO.  

Specific responsibilities and duties include:

  • Develop & enhance existing administrative and filing systems
  • Handle incoming calls, mail and general inquiries via email
  • Assist in development of audio visuals, including power point presentations
  • Provide assistance in conference planning and implementation as required
  • Assist with workshop organization, technical requirements and logistics including room set up, catering, and handouts
  • Provide administrative assistance with workshop communication, social media, and marketing and communications
  • Work closely with the Program Coordinator to administer all aspects of workshop evaluations and certificates of attendance
  • Manage internal and external meeting schedules as required
  • Provide assistance with reporting and grant proposal administrative duties as needed
  • Assist with website updates and social media scheduling
  • Banking, post office and other errands as required
  • Seek supervision and support as needed

Education, Skills & Experience

  • Experience working in a Non-Profit Charitable environment
  • Experience working on various aspects of program development and delivery
  • Solid administrative and organizational skills
  • Excellent oral and written communications skills
  • Excellent computer skills, including MAC, Google Docs, Power Point and Excel
  • Experience in administrative aspects of grant writing and reporting to funders is an asset
  • Social media experience is an asset
